This Privacy Policy explains how HostSoch ("HostSoch", "we", "us") handles personal data when you visit our website, contact us, or buy and use our services. We collect only what we need to provide and support those services, and we do not sell your personal data.
1.Who we are
HostSoch provides VPS, cloud and dedicated servers. For personal data about you as our customer or website visitor, we decide how and why it is used.
For data that you or your users store on your servers, you are in control — we process it only to provide the service and as described in section 6.
2.What we collect
| Type | Examples | Where it comes from |
|---|---|---|
| Account and contact details | Name, email, phone number, postal address, company name, GSTIN | You, when you sign up or update your profile |
| Billing records | Invoices, payments, payment method type, transaction references | You and our payment providers |
| Service and technical data | Services you use, server IP addresses, login times and IP addresses, usage and monitoring data | Our systems, when you use the services |
| Support communications | Tickets, chat and email messages, call notes | You, when you contact us |
| Website data | Pages visited, browser and device type, IP address, cookies | Your browser, when you visit our website |
| Contact form enquiries | Name, email, phone and your message | You, when you use the contact form |
3.How we use it
- To set up, run and support the services you order
- To bill you, collect payments and keep accounting and tax records
- To send service emails — order confirmations, invoices, renewal reminders, maintenance and security notices
- To answer your enquiries and support requests
- To protect our network and customers — preventing fraud, abuse, spam and attacks
- To meet legal obligations, such as tax law or lawful requests from authorities
- To improve our website and services
We send occasional news about our services only where the law allows, and you can opt out at any time.
4.Payments
Card, UPI and net-banking payments are handled by our payment providers. We do not store your full card number or card security code on our systems — we keep only what we need for our records, such as the transaction reference and amount.
6.Data on your servers
The files, databases and email on your servers belong to you. Our staff do not access them except when you ask us to (for example, in a support ticket), when it is needed to keep the service or our network running safely, or when the law requires it.
If you collect personal data from your own users, you are responsible for meeting the data protection laws that apply to you.
8.Where your data is stored
Our website, client area and customer records are hosted in India. If you order a server in another location, such as the USA or Singapore, the data on that server is stored there.
9.How long we keep it
We keep your account and billing records for as long as you are a customer, and afterwards for as long as tax and accounting law requires. Support records are kept for as long as they are useful for supporting you. Data on a server is deleted when the service is cancelled or terminated.
When we no longer need personal data, we delete it or make it anonymous.
10.How we protect it
We use technical and organisational measures to protect personal data, including encrypted connections (HTTPS) to our website and client area, firewalls, access controls that limit staff access to what their role needs, and regular software updates.
No system is completely secure. If a breach affects your personal data, we will tell you and the relevant authorities as the law requires.
11.Your rights
Under India's Digital Personal Data Protection Act, 2023 and other applicable law, you can:
- Access — ask for a summary of the personal data we hold about you
- Correct and update — fix inaccurate or incomplete data; most details can be changed in the client area
- Erase — ask us to delete your data, unless we must keep it by law (for example, invoices)
- Withdraw consent — where we rely on your consent, such as marketing emails
- Raise a grievance — complain about how we handle your data (see section 12)
- Nominate — name someone to exercise these rights for you in case of death or incapacity
To use any of these rights, open a ticket. We may need to confirm your identity first.
12.Grievance officer
To raise a privacy concern or complaint, please open a ticket with the subject "Privacy". It will be handled by the person responsible for data protection at HostSoch.
13.Children
Our services are for businesses and adults. We do not knowingly collect personal data from anyone under 18. If you believe a child has given us personal data, please contact us and we will delete it.
14.Changes to this policy
We may update this policy from time to time. The latest version is always on this page with its "Last updated" date. We will email active customers about significant changes before they take effect.
15.Contact
